Mass. Coalition for Adult Education- Administrative Assistant (part-time)






The Massachusetts Coalition for Adult Education (MCAE) seeks an energetic, poised self-starter with excellent communication, organizational and interpersonal skills to be the administrative support for the Board, the various consultants working with MCAE on public policy and fund development, and the various MCAE committees as needed.


The ideal candidate for this position will have excellent verbal and written communication skills, a mature interpersonal style, a positive and enthusiastic attitude, a strong sense of customer service and a sense of humor.  The candidate must exercise excellent judgment and discretion with confidential or sensitive materials and be a problem-solver.


MCAE is a private, nonprofit organization respected and well-known for conducting public policy activities, implementing successful public information campaigns, and providing high quality professional development to all those involved in adult basic education.  MCAE has a statewide membership roster of approximately 500 individuals and 59 organizations across Massachusetts, as well as its active and dedicated Board of Directors comprised of long-standing leaders in adult education.

1.    In collaboration with the relevant MCAE Board committees, consultants and volunteers, coordinate MCAE’s individual, leadership circle and organizational membership campaigns, including:


a.    Disseminating all MCAE Board approved materials for renewals and new prospective members;

b.    Tracking responses and following up to ensure maximum positive response;

c.    Entering membership information into data base and keeping records up-to-date; and

d.    Depositing checks, tracking membership revenue and providing up-to-date revenue

reports to MCAE Board and bookkeeper.


2.    Provide administrative support to the Conference Committee, Conference Coordinator, public policy consultant and MCAE Board to execute Network, MCAE’s signature event and annual professional development conference attended by more than 500 participants and exhibitors, including:


       a.    Assisting with tracking conference and individual workshop registrations;

       b.    Preparing conference handouts for all attendees;

       c.    Assisting with exhibitor and presenter outreach and confirmations; and

       d.    Assisting with set-up, registration and pack-up at the conference.


3.   Provide administrative support to the public policy consultant, Public Policy Committee, Regional Campaign Coordinators and others, as required, to execute the annual public policy campaign.


4.   Provide administrative support to the Development Committee and fundraising consultant, including:


      a.     Tracking revenue from contributions and providing up-to-date revenue reports to

committee, consultant, MCAE Board and bookkeeper;

      b.     Entering donor information into data base and keeping records up-to-date;

      c.     Depositing checks;

      d.     Preparing timely acknowledgements and tax receipts for Board President’s signature;

      e.     Assisting with preparation and mailing of grants and individual appeals as required.


5.   Assist MCAE Executive Committee, the Treasurer, bookkeeper and CPA with preparation of required financial reports, including:


a.     Sending required financial information to bookkeeper on a monthly basis for preparation of financial reports for MCAE Board; and


      b.     Sending required financial information to the bookkeeper and CPA at year-end for

preparation of financial statements, year-end tax forms and tax returns.


6.   Assist MCAE Executive Committee with preparation and dissemination of materials for MCAE Board meetings and MCAE annual meeting.


7.   Assist with updating the MCAE website.


8.   Assist with other duties as assigned.





1.      A.A. degree minimum; B.A. desirable.


2.      Demonstrated excellent written and oral communications skills, including telephone skills.


3.      Demonstrated excellent interpersonal communication skills. 


4.      Demonstrated excellent organizational skills and attention to detail.


5.      Demonstrated excellent computer skills, including MS Office, e-mail, list-serve, web site updating and data base use including creating reports from a database.  Familiarity with Constant Contact helpful.


6.      Ability to work with diverse groups.


7.      Ability to work independently and as part of a team.


8.      Willingness to work flexible hours.




This is a part-time position for up to 15 hours per week for 50 weeks.  The hourly rate is $15/hr.  There are no benefits.
